A lead capture form is a small page with questions that you put on your website (or share with a link) so your customers can leave their details. Each response creates the contact in Contacts, can add it to your pipeline and notifies you. You create them in Management → Forms with New form.
Form details
| Field | What it is for |
|---|---|
| Internal name | Only you see it, to tell your forms apart (for example "Request information (web)"). It appears in the contact's activity so you know which form they came from. |
| Form active | If you turn it off, the form stops accepting responses without being deleted; contacts that already arrived stay. |
| Visible title | The title your customer sees above the form (for example "Request information"). |
| Intro text | A short text below the title explaining what you ask for or what will happen (for example "We'll call you within 24 hours"). Optional. |
| Button text | The text on the send button (for example "I want information"). If you leave it empty it says "Send". |
Fields
Choose which details the form asks for. For each one you tick Show (it appears on the form) and Required (it can't be sent without filling it in):
- Name, Email and Phone: they identify the contact. You must show at least one of the three. Email and phone are checked before sending; the phone is saved in international format.
- Company: if they fill it in, the contact is linked to that company in Companies (or it is created if it doesn't exist, on plans that include Companies).
- Message: free text. It is saved as a note on the contact.
The privacy consent checkbox is always added and can't be removed: the form can't be sent without accepting it.
Your own fields
Up to 5 questions of your own, for example "Which service are you interested in?" or "When suits you?". For each one you choose:
- Question: the text your customer sees.
- Type: Short text (one line), Long text (several lines) or List (pick one option).
- Options: only for the List type, separated by commas (for example "Cut, Colour, Styling").
- Required: whether it must be answered to send the form.
The answers are saved, together with the message, in a note on the contact titled with the form's name.
After sending
| Field | What it is for |
|---|---|
| Pipeline | The pipeline the contact enters, in its first column (if it was already in that pipeline, it doesn't move). With "The one the entry rules choose" your pipeline settings decide. |
| Labels | Added to every contact who sends the form, so you can filter them later (for example "Web" or "Summer campaign"). You can pick several with Ctrl (Cmd on Mac). |
| Thank-you message | What your customer sees after sending. If you leave it empty a standard thank-you message is shown. |
| Or go to this page | Optional: instead of the thank-you message, take them to a page on your website (starting with https://), for example a "Thank you" page. |
| Your privacy policy | The link to your privacy policy, shown next to the consent checkbox. Recommended: your customer should be able to read how you handle their data. |
Put it on your website
In the list of forms you have two buttons:
- Copy link: the form's address, to share on WhatsApp, email, social media or a QR code.
- Copy code for your website: a code (iframe) you paste on your website, in an HTML block (WordPress, Wix, Shopify…). The form appears inside your page.
The list also shows how many responses each form has and when the last one arrived.
What it does with the data
- It creates the contact or, if one already exists with that email or phone, completes it without deleting what you already had.
- It saves the message and custom fields as a (encrypted) note and records the submission in the contact's activity.
- It adds the labels, puts the contact in the chosen pipeline and notifies you in the bell that a lead has arrived.
- The form page uses no cookies.
- Bot protection: a hidden trap field, a minimum time to fill it in and a limit on repeated submissions from the same connection.
You are the controller of the data you collect with the form: state what you use it for in your privacy policy.
