In many businesses a sale lives in three places at once: conversations on WhatsApp or Instagram, customer details in a spreadsheet or a separate CRM, and quotes in a document sent by email. Every jump between tools is a detail copied by hand, a follow-up forgotten or a customer going cold.
MuseRelay already brought WhatsApp, Instagram, Messenger, Telegram, your website chatbot and email into one inbox, with an AI assistant that replies and qualifies. Now that same inbox has a full CRM behind it: each customer’s record with their history, a sales pipeline with amounts and reports, forms to capture customers from your website, company records and quotes your customer accepts online. All in the same place where you talk to them.
1. The customer record, with their whole history
The Contacts list is now your CRM. When you open a contact you find:
- Owner: the team member who handles that customer.
- Notes: what the team wants to remember (a call, a meeting, an agreement), with who wrote it and when.
- Tasks such as “call on Monday” or “send quote”, with date, time and assignee. When the time comes, MuseRelay alerts through the dashboard bell and, if your team uses Telegram, there too.
- Activity: a single timeline with their conversations, appointments, tickets, notes, tasks, labels, pipeline stage changes (including those made by the AI) and owner changes.
- Record change history: who changed which field and when. For privacy it stores which field changed, never the previous value.
You can filter by owner, by appointments or by the details the AI asks when qualifying, and save those filters as segments shared with the team (“VIP with an appointment this month”). With several contacts selected, you add or remove labels or change the owner of all of them at once.
Coming from another tool? Import your contacts from a CSV from Excel, Google Contacts or another CRM: MuseRelay suggests which field each column maps to and doesn’t create duplicates if the email or phone already exists. You can also export them as CSV whenever you want.
2. Capture customers from your website with forms
Not every customer starts by writing on WhatsApp. With lead capture forms you create a form for your website in minutes: choose which details it asks for (name, email, phone, company, message and up to 5 custom fields), which are required and the thank-you message. Share it with a link or embed it on any page of your website.
- Each submission creates the contact or completes the one you already have with that email or phone, without deleting what you already knew.
- The contact can go straight into your sales pipeline, with the labels you choose, and you get a new lead alert.
- The person accepts the processing of their data before sending, and the form is protected against automated bot submissions.
3. Sell with the pipeline: amounts, forecast and reports
The leads board already knew where each customer stands, and the AI moved the cards according to the intent of each reply. Now it also knows how much each sale is worth:
- Amount and expected close date on each card, with each column’s total and, above the board, what you have in progress, the weighted value and what you have won.
- Probability per column (for example, Proposal 50%, Negotiation 75%) to see what you really expect to close.
- Loss reason when you move a card to “lost” (price, chose another provider, stopped replying…).
- The AI can suggest the amount when the customer mentions their budget during the conversation: the card shows the suggestion with Accept and Dismiss. It’s optional, off by default, and the AI never sets it on its own.
With the pipeline reports you see each column’s conversion, how many days a customer stays in each one (where they get stuck), won and lost deals per month, the most frequent loss reasons, and results by source channel and by owner. They can be exported to CSV. All the details are in Pipeline sales.
4. Companies: when you sell to other businesses
If you sell to businesses, several people from the same customer write to you on different channels. The company record brings them together: website domain, phone, tax ID, address, internal notes and owner, with its contacts, the amount you have in the pipeline and its quotes.
When you import contacts with a “company” column, or they come through a form with that field, they are linked to their company automatically, and it is created if it doesn’t exist. Deleting a company doesn’t delete its contacts.
5. Quotes your customer accepts online
When the conversation gets to price, the next step is no longer opening another program. From the contact’s record, the company or their pipeline card you create a quote:
- Add lines from your catalogue of products and services or by hand, with quantity, price, discount and tax per line. MuseRelay calculates subtotal, taxes and total, and numbers each quote.
- Send it by email from your email channel, or copy the link and send it on WhatsApp or wherever you prefer.
- Your customer opens it on a page with your logo, saves it as PDF from the browser and accepts it by typing their name, or declines it.
- You see whether they opened it, and the bell alerts you when they accept or decline. When accepted, their pipeline card takes the total as its amount and moves to won.
A quote that has been answered can no longer be changed (you can duplicate it to make another), and after its validity date it expires.
6. Working as a team
- Automatic conversation assignment: each new conversation goes in turn to the team member who has gone longest without one, without exceeding their maximum open chats and, if you want, only among those who are online.
- Quick replies: save the texts your team repeats (opening hours, prices, directions) and insert them by typing
/in the inbox. - Schedule an email: from the email inbox, pick a day and time and the message goes out on its own, for example first thing the next morning.
- Custom roles such as “Sales” or “Front desk”, which hide the sections that person doesn’t need. Hidden sections don’t appear in the menu and can’t be opened by typing the address either. The owner always sees everything.
7. Privacy by design
A CRM stores your customers’ personal data, so we built it with the same approach as the rest of MuseRelay:
- The text of notes and tasks is stored encrypted, just like conversations.
- The change history stores which field changed, not the previous value.
- If you delete or anonymise a contact (right to be forgotten), their notes, tasks and history are deleted too.
- Only owners and administrators can import and export contacts.
- Everything is stored on servers in the European Union. More details in Privacy and security of your data.

What it doesn’t do
So you know what to expect: quotes are not invoices (MuseRelay doesn’t replace your invoicing software), and MuseRelay doesn’t send bulk campaigns. It is built to serve, qualify and close with the people already talking to you.
Frequently asked questions
Can I bring my contacts from another CRM?
Yes. Export a CSV from your current tool, Excel or Google Contacts and import it: MuseRelay suggests which field each column maps to and doesn’t duplicate contacts that already exist.
Does my customer need an account to accept a quote?
No. They open it with the link you send, can save it as PDF and accept it by typing their name.
Does the AI change my sales on its own?
The AI can move pipeline cards according to the intent of each reply, if you set it up that way, or only suggest it. It never sets the amount on its own: at most it suggests it and a person accepts it.
Are the forms GDPR compliant?
They ask the person to accept the processing of their data before sending, and you can link your privacy policy. The data is stored on servers in the EU.
